A multilateral organisation moved 120 delegates and support staff between Brussels and Berlin across two days. Security coordination, convoy protocol, pre-cleared drivers.

The challenge

A multilateral European organisation needed to move a full delegation — 120 people across principals, staff and security — from a Brussels summit to a follow-on meeting in Berlin. Protocol required coordination with two national security services. All drivers needed background clearance submitted 4 weeks in advance. The convoy had to stay together on motorway, stop only at pre-cleared service areas, and maintain radio contact with security lead vehicles.

Our solution

We provisioned 3 executive coaches plus 6 support vehicles from our cleared fleet, with drivers who had previously served NATO and EU institution contracts. Paperwork was submitted to both security services 5 weeks out. We ran a full dry-run of the 800km route with timing logs, identifying fuel points and medical facilities every 200km. On the day, all 9 vehicles departed together with encrypted radio comms to the lead security car.

The result

The convoy arrived in Berlin within the 15-minute window requested by protocol. Zero security incidents. The organisation has since placed us on their approved European ground transport roster.
